You have the important role of managing administrative systems and processes to the highest standard to help our Home Manager and the team run the home both safely and effectively.
Your day is varied and rewarding as you manage your scheduled administration duties alongside responding to ad-hoc requests from residents, visitors, care home employees and Abbeyfield employees from other locations. You maintain and manage accurate records in relation to the management of the home relating to finance, residents and employees.
As the face and voice of the home you welcome and assist visitors, residents and employees, providing a welcoming reception service both face to face and over the phone, either dealing with queries yourself, or directing them to the relevant person.
You support the employees and home by providing an office function covering responding to telephone calls, emails, faxes and correspondence, processing incoming and outgoing mail, photocopying and printing, filing and archiving, taking notes and producing minutes and responding to request for information.
To enable your colleagues to work effectively and professionally, you maintain adequate supplies of stationary, forms, promotional literature, uniforms and badges and assist with the co-ordination of repairs and maintenance.
You maintain accurate and current TV licences and records for the home and assist with the issue of licence agreements to residents.

You are well organised and prioritise your work to ensure that you meet all scheduled deadlines and manage expectations with regard to any ad-hoc requests.

You understand and observe all of Abbeyfield's policies and procedures, keep all home and resident records up to date and the home secure, with the knowledge that this is to protect the residents, the company and yourself. Confidentiality and Data Protection is paramount and you apply this in all of your dealings and communications.

The Ideal Candidate
You must be experienced in administrative roles, and be familiar with office procedures and systems. You'll also be highly organised, and able to work using your own initiative and unsupervised.
Computer literate with a working knowledge of Word, Excel and e mail, you must also be able to demonstrate strong numeracy and literacy skills, and be able to communicate and interact well with a wide range of people in varied situations.

About the Company
Jim Gillespie House is a 30 bedroom, two storey residential care home located in the heart of Rugby. We provide residential care for older people including those who may experience hearing or visual impairment or assistance with personal care and/or mobility. Our lounge, dining room and conservatory are ideal places to catch up and make new friends with fellow residents or with our caring, attentive team.
My role as Home Manager is to ensure my team delivers high standards of care at all times. My team builds honest and open relationships with our residents, through our weekly programme of fun activities such as bingo or quizzes, or simply by spending time outside in our beautiful, secure gardens.
