The Role

This is a varied role, where you'll be involved in supporting operational managers with key aspects, such as recruitmentDBS and on-boarding checks, using our HR and e-Recruitment System.  You'll also organise managers meetings, location, venue, catering, attendees and agenda, and if necessary prepare slides.

You'll manage all new starters induction and training through the managers, maintain records for training and ensure all sites are up to date, using our Learning Management System.

You may be asked to take minutes at meetings, monitor sickness and absences, schedule 1-2-1 meetings for Regional Directors and Operations Managers, and book in monthly quality audits and schedule appraisals

You'll collate reports for finance, compile, maintain and monitor spreadsheets e.g recruitment agency spend, and take payments for residents.  You will monitor which managers are late with reports, and call to chase until they are on time.

You will manage a calendar of events, and be the first call for complaints.  You may also help produce weekly league tables, work with the other Senior Administrator to monitor voids and improvement plans, and chase debtors where appropriate.

Finally, you'll update areas of the Monthly Quality Audit, maintain records of all CQC notifications, prompt managers with monthly actions, undertake initial investigations and monitor CQC updates and Care Manager Training.

About You

Ideally you'll have a Certificate in Business Administration, or equivalent professional qualification or experience.  You must have significant experience in providing high level operational support to a geographically dispersed team of managers in a regulatory environment, ideally in the care, housing or hospitality sectors.

With excellent IT skills, you'll know how to exploit information technology applications to create processes and systems that enhance business effectiveness and efficiency. Results driven with high levels of initiative, you're comfortable making decisions, but know when to escalate for a second opinion.

Highly structured and organised with superior time management skills, you'll also be able to multi-task and re-prioritise tasks and activities when circumstances change.  And your excellent attention to detail; and a tenacious desire for accuracy in both written information and numerical data, means you can be relied upon.

You'll be able to interpret business plans and priorities, and translate these into impactful administrative support services.  With excellent interpersonal skills, you actively develops collaborative and productive working relationships, with evidence of achieving results through working closely with others.  A good mentor and coach, you'll be able to train operational managers in more efficient ways of working, and champion GDPR.

And because we take the wellbeing of our residents and staff very seriously, ideally you'll also be fully vaccinated against COVID-19 (other than in exceptional circumstances), and intend to have any further booster vaccinations that are made available.
